ABC Request for Funds Process

One of the Athletic Booster Club’s primary functions is to support SMHS Athletic Programs by distributing funds to teams that can demonstrate a reasonable need for financial aid.  The process for coaches/teams requesting funds is as follows:

• Teams are encouraged to hold annual fundraisers to cover various expenses.  In the event that the team expenses exceed funding normally made available through the Athletic Director or existing in the Team Account, a coach may request funds from the ABC.

• Coaches requesting funds need to complete a “Request for ABC Funds” form, which can be obtained from the ABC Webpage or from the Athletic Director.  If possible, coaches should also attach two (2) quotes from vendors, tax and shipping/handling/delivery included, for the items being requested.  Once completed, forms must be submitted to the Athletic Director for approval, who will in turn forward to the ABC Board for funding consideration.

• Coaches are encouraged to attend the ABC meeting at which the request for funding will be discussed.  Background information such as the specific need for items requested, how the request will benefit the athletes, team fundraising activities conducted, and any other informational materials should be provided to the board for consideration.

• Once the request form has been received, it will be placed on the upcoming meeting agenda.  The board will discuss the matter at the meeting and vote to either approve or deny the request.

• If funds are approved by the Board, the ABC Treasurer will be requested to make payment as appropriate.  The ABC will pay vendors upon receipt of an invoice or reimburse the coach if prior purchasing arrangements have been approved.
